MINUTES OF THE S.A.H.P.A. Inc. MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A. Inc. HEADQUARTERS ON MONDAY 19th JUNE 2006 1. CHAIRPERSON OPENED MEETING AT: 7.35 pm Attendance: Mr. D. Thalbourne (Chairperson), Mr. P. Couzner, Mr. F. DiMella, Mr. J. Marafiote, Mr. W. Moyle, Mr. K. Pridham, Mr. R. Seedsman (General Secretary), Mrs. C. Myers (Assistant Secretary) 2. APOLOGIES: Nil 3. MINUTES OF PREVIOUS MEETING: Moved/Carried/Seconded 4. BUSINESS ARISING FROM PREVIOUS MEETING: Mr. J. Marafiote raised further points in regards to 3-5 bird Specials for the 2007 Season. 5. TREASURER’S MONTHLY REPORT: The Treasurer presented his Report for the period 1st December 2005 through to the 31st May 2006. The Report indicates a Profit has been recorded for this Period with the Associations’ Income reflecting similar for the same period in2005 – but with a slight increase in Expenses. The Treasurer informed the Management Committee of forthcoming expenses for the months of June/July, which included Modification Expenses to the Main Race Unit, the Association Annual Insurance Premiums, Freight Charges, G.S.T., and the printing of the 2005 Year Book. 6. CORRESPONDENCE IN: 1. Fax from the Balaklava/Wakefield Plains – Requesting a Separate Release after the Main Race Birds have been released for a trial period. Action: Secretary has informed Balaklava/Wakefield Plains Club that a separate release will be accommodated under certain conditions. 2. Email from Promotions Sub-Committee – Advising of Videos & DVDs that can be purchased including cost. Action: The general Secretary to purchase three (3) suitable DVD’s to be used for the Promotion of the Sport. 3. Letter from Elizabeth Pigeon Club – Advising of Office Bearers For the 2006 Season. Action: Secretary to include on Membership List. 4. Letter from WorkCover Corp. – Enclosing a Reconciliation Statement for the period 1st July 2006 – 30th June 2007. Action: Secretary to complete Statement and return along with Payment. 5. Email from the Smithfield Racing Pigeon Club – Advising that Mr. M. Shepherdson has tendered his Resignation from their Club. 6. Minutes of the Adelaide Ten Thousand Committee – Meeting held on the 24th May 2006. Points of Interest Ø 2007 Rules & Nominations have been posted to all Competitors. Ø Training Unit has been repainted and is in the process of having Sign Writing redone. Ø Hampton Haulage has been incorporated as a Sponsor along with Magill Grain Store and Top Loft Company. Ø Mr. W. Brady has been appointed as the Race Convoyer for the 2006 Race from Roxby Downs on Sunday 30th July 2006 (Weather Permitting) 7. Notification forms from Various Clubs – in relation to their Hampering and Clock Reading arrangements for the forthcoming Association Races. 8. Email from the Promotions Sub-Committee – Attaching the format in regards to the proposed 5 Bird “Ace Series” for the Management Committees’ Approval. Action: To be discussed Under Matters Held over from Previous Meetings Correspondence. 9. Convoyer’s Reports – Carrieton 1, Carrieton 2 & Hawker 1 10. Letter from Nth. Suburban Homing Pigeon Club - Requesting Approval to conduct a Sires Produce Race in conjunction with Both S.A.H.P.A. Inc. Derbies. Action: The Management Committee have approved the request to conduct a Sires Produce Race in conjunction with the S.A.H.P.A. Inc. Derbies. 11. Letter from Chubb Security – advising of an increase in cost for their Service. 12. Letter from Mr. R. Billing (S.A.H.P.A. Inc. Convoyer) - Thanking the Management Committee for the additions of the Sleeping Compartment and Storage Area to the Main Race Unit to assist the Convoyer’s comfort. 7. CORRESPONDENCE OUT: 1. Letter to the Central Districts Racing Pigeon Club – Advising That there will be no new Survey of Clubs in regards to flying Special Races in the 2006 Season. 2. Letter to Mr. D. Russell – Advising of the Management Committees’ decision in regards to the re-formation of the Gawler River Club. 3. Letter to the Adelaide Hills Racing Pigeon Club – Advising that the Management Committee stand by their original decision not to include Special Races on the 2006 Race Program. 4. Letter to Mrs. M. Colerio – Advising that her Application for the Position of Headquarters Cleaner for the 2006 Season has been successful. 5. Letter to Mr. & Mrs. D. Thalbourne – Advising that their Application for the position of Headquarters Cleaner for the 2006 Season has been unsuccessful. 6. Letter to the Victor Harbor Homing Club – Enclosing a cheque On behalf of the S.A.H.P.A. Inc. for a Trophy Donation. 7. Email to Promotions Sub-Committee - Requesting more Information in regards to the concept of a 5 Bird “Ace Series”. Moved/Carried – Correspondence In & Out – Confirmed. 8. MATTERS HELD OVER: 1. 5 Bird “Ace Series” – Promotions Sub-Committee: The Management Committee has no objection to the concept Of a 5 Bird “Ace Series” for all S.A.H.P.A. Inc. Races, put forward By the Promotions Sub-Committee – provided that no extra workload is placed on the General Secretary/Treasurer or the Assistant Secretary. 9. GENERAL BUSINESS: 1. INTERNATIONALLY RUNG BIRDS: Any Bird that has been rung with an International Life Ring will be ineligible to compete in either of the Two (2) Young Bird Championship Events for the 2006 Season. 2. 2006 – ASSOCIATION TROPHY AWARDS: The Association will continue to provide an Award or similar to the Winner of each Association Race this Season. The Ten (10) Association Race Winners will receive a Cheque for $100.00. It would be appreciated if the Winner purchased a Trophy or similar award for Presentation at the end of the Season Function. 3. INSURANCE ON CLOCKS: Members are advised that any Clock that is dropped by Member/s of any Club Clock Committee during S.A.H.P.A. Inc. Races is covered by Insurance. Members dropping their own Clocks are not covered by Insurance. 4. PRICE OF SA 2006 LIFE RINGS: The Management Committee have approved the cost of Life Rings for the 2007 Racing Season at $0.35c per Ring. There will be NO Ring Refund to Clubs – 2007 Season. Meeting of Club Secretaries and Clock Chairpersons: Club Secretaries are to be advised that a Meeting of Club Secretaries with the S.A.H.P.A. Inc. Clock Chairperson will be held on – Monday 10th July 2006 – 7.30 pm. All Club Secretaries – Please Note: All Clubs are to be represented as the information to be handed down and discussed is important to all flyers who wish to fly Association Races. Fines may be Imposed for Non- Attendance – with no Reason offered or Apology provided. b. Clock Register – ALL CLUBS: Clock Registers should be forwarded to the General Secretary NO LATER THAN – Monday 10th July 2006. Could each Club Clock Chairperson – Please check to ensure all Members are listed on each Clock Register. c. Fire-Off – Association Races: The S.A.H.P.A. Inc. Clock Chairperson will be providing information to Club Secretaries at the forthcoming Secretaries Meeting as to the Firing-off Format for 2006 Season. d. Electronic Timing System: Serial Numbers of each Member’s Electronic Clock is required to be in the hands of the General Secretary NO LATER THAN – Monday 10th July 2006 – along with each Member’s Allocation List of Birds to be raced. Seal Number of Sensor/Antenna at fixed Point of entry and a Photo of Fixture Point of Sensor/Antenna is also required by the above date. Members whose Sensor/Antenna is still fixed at the Original Place with Seal still intact from the 2005 Season, do not need to re-submit a photo etc. 6. S.A.H.P.A. Electorates: Held over until Next Meeting 7. 2006 Presentation Evening: Mrs. C. Myers to make enquiries at the Walkers Arm Hotel for a suitable date – early November. 8. Random Drug Tests: Random Drug Tests will be carried out once again in the 2006 Season, with the pre-announcement to be made on Clock Setting Nights in regards to whose Member/s Birds will be tested in accordance as to their Allocated Position within the first (1st) thirty (30) Place Getters for Association Races. 9. S.A.H.P.A. Inc. Aggregate Points Jacket: The Association will provide a Voucher for a Jacket to the value of $200.00 for this year’s Aggregate Points Winner. The Jacket will be presented to the 2006 Winner at the End of Season Presentation Evening. 10. Tossing of Bird/s – Association Races: The First (1st) Second (2) & Third (3rd ) placed Bird of each Association Races MUST BE TOSSED WITHIN SEVEN (7) DAYS of Homing from the Race. The Club Chairperson or Secretary shall Toss the Member/s Winning or Place-Getting Bird, and must verify in writing that the Bird was tossed. The Bird Verification Form is to be duly completed, signed accordingly, and returned to the General Secretary. 11. Junior Clocks: The Management Committee have endorsed the Clock Chairperson’s Recommendation that all Members with Junior Clocks must have two (2) check prints on Clock Reading Night. (i.e.) Junior Clocks are to be fired off Twice on Clock Reading Nights. 12. Clock Presentation – Clock Reading Night: Members are reminded that it is their own Responsibility to have their Clock presented at the appropriate time on Clock Reading Night if they require a reading. 13. 2006 Group Make-up – Hampering/Clock Reading Centres: Clubs/Groups are reminded of Race By-law (23) Six Competing Members will constitute a Hampering Centre. If less than six (6) competing Members are present the Hampering of Birds shall be at the Sole Discretion of the General Secretary. Clubs may hamper together if not instructed otherwise by the Management Committee. Ø FAILURE TO ABIDE BY THIS RULE WILL RESULT IN DISQUALIFICATION! Clubs/Groups are reminded of Clock By-law 8 (a) Where the number of competing Member’s Clocks presented to Be read is less than six (6), the firing, opening, reading and checking of such Clocks, shall be at the Sole Discretion of the S.A.H.P.A. Inc. Clock Chairperson. Ø FAILURE TO ABIDE BY THIS RULE WILL RESULT IN DISQUALIFICATION! The Management Committee recommend that Clubs/Groups at risk of not having enough Members to Hamper or Read Clocks as the Season progresses should consider making arrangements with alternative Clubs before the S.A.H.P.A. Inc. Races begin. DO NOT WAIT UNTIL THIS SITUATION OCCURS TO FIND A CLUB WILLING TO ACCOMMODATE YOUR REQUEST! 14. Firing –off Procedure: All Clubs/Groups are requested to appoint a designated Person to oversee the Firing-off of Clocks by the Telstra Time Message – 1194. Firing-off of Clocks on Hamper Night at 8.00 pm – with additional Check Print Fire-off thirty (30) seconds later. The S.A.H.P.A. Inc. Clock Chairperson – Mr. K. Pridham – will be ringing Clubs/Groups on a Random Basis to initiate a Fire-off on Clock Reading Nights. 15. Promotions Sub-Committee – Pigeon Apparel Mr. D. Thalbourne presented a copy of prices that he has obtained from a number of outlets for the Manufacturing of Caps and Polo Shirts with S.A.H.P.A. Inc. Logos for the Management Committees’ attention. The General Secretary will activate a flyer to all Clubs to gauge Members interest in the purchasing of these items. 16. Training Unit: The General Secretary will investigate the cost of a Promotional Sign to be attached to the rear of the S.A.H.P.A. Inc. Training Unit. 17. 2005 Year Book: The General Secretary is in the process of receiving quotes for the printing of the 2005 S.A.H.P.A. Inc. Year Book. The Management Committee would like to express their appreciation to Mr. M. Shepherdson for his contribution in respect to the Year Book. 18. Clock Reading Night at S.A.H.P.A. Inc. Headquarters: Held over until next meeting. 19. Sealing of Hampers – S.A.H.P.A. Inc. Races: Club Secretaries – Please be Advised Only record the Numbers of the Seals that are to be used for the Sealing of Hampers for the 2006 Season. For Example – If Ten (10) Hampers are used that require seals to three (3) access doors per Hamper – only the numbers of the Thirty (30) seals need to be recorded on a piece of paper and placed in an envelope for checking at S.A.H.P.A. Inc. Headquarters. Hamper numbers do not need to be recorded as was the case in 2005. 20. S.A.H.P.A. Inc. Hall The Management Committee have decided to name the S.A.H.P.A. Inc. Headquarters Hall the “Bill Walford Hall” in honour of the very large Contribution that Bill has made to the South Australian Homing Pigeon Association and the Sport over a number of years. 10.
