MINUTES OF THE S.A.H.P.A. INC. MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A. HEADQUARTERS ON SUNDAY 18TH JANUARY – 2.00 PM 1. Chairperson opened Meeting at 2.10 pm Attendance: Mr. D. Treasurer’s Monthly Report: The Treasurer presented a Draft Report of the S.A.H.P.A. Inc. Financial position for the period 1st December 2002 through to 30th November 2003. The Final Report will be available to all Members in advice of the Annual General Meeting on the 16th February 2004. Moved/Seconded/Carried 6. CORRESPONDENCE IN: 1. E-mail from Mr. R. Chapman – Application for the Position Of Vice-Chairperson for the 2004 Season. Action: Secretary to file for Member’s consideration at the 2004 A.G.M. 2. E-mail from Knox Bird Clinic – Advising that Pigeon Pox Vaccine is readily available. 3. Letter from Mr. B. Gilbertson (South Australian Tourism Commission) – Expressing his gratitude to the S.A.H.P.A. for Their Assistance at the 2003 Christmas Pageant, and enclosing A statement of Supplier Form to be completed, enabling him to Initiate a Trophy Donation. Action: Secretary to complete Supplier Form and return. 4. From the South Australian Tourism Commission – Enclosing a Cheque to the Value of $50.00 for a Trophy Donation. 5. Adelaide 10,000 – Minutes of Adelaide 10,000 Meeting held on Wednesday 7th January 2004, including List of Committee Members for the 2004 Season. Committee Members consist of R. Abraham, B. Donovan, I. Durrant, L. Smith, R. Seedsman, B. Seedsman. Action: Secretary to Circulate Minutes. 6. Letter from Mr. R. Seedsman – Application for the Position of General Secretary for the 2004 Season. Action: Secretary to file for when Applications are considered. 7. Letter from Mrs. R. Kearns – Application for the Position of Ring Secretary for the 2004 Season. Action: Secretary to file for when Applications are considered. 8. Letter from Mrs. C. Myers – Application for the Positions of Assistant Secretary & Systems Administration Officer for the 2004 Season. Action: Secretary to file for when Applications are considered. 6. CORRESPONDENCE OUT: 1. Invoice to Flotek Pty. Ltd – Re: The Parking of their Employees Vehicles at the S.A.H.P.A’S Premises. 2. E-mail to Knox Bird Clinic – Enquiring as to the Availability and cost of Pigeon Pox Vaccine. 3. 2004 Club Membership Lists/Vaccination Forms – Circulated to all Club Secretaries. Moved/Carried – Correspondence In & Out – Confirmed 7. GENERAL BUSINESS: 1. Positions within the S.A.H.P.A.: REMINDER! The cut-off date for the following positions with the S.A.H.P.A. Inc. is Friday 13th February 2004. Race Adjudicator S.A.H.P.A. Convoyer Release Officer Transport Loading Stewards (2) Unit Cleaners (2) Clock Chairperson Website Manager Publicity Officer Computer Systems Administrator 2. Affiliate Clubs – Membership Fees: All Affiliate Clubs of the S.A.H.P.A. Inc. with the exception of the Adelaide Pigeon Club (Who pay a fee based on a certain formula) pay a fee of $15.00 per Member. The $15.00 fee is to consist of $5.00 Membership Fee and a $10.00 Fee for convoying on the S.A.H.P.A. Unit. All relevant cartage fees per bird are applicable. 3. Northern Electorate – (Management Committee Representative) As the expiry date for Nominations has now closed, and Mr. P. Couzner being the only Applicant for the Northern Electorate. Mr. Phil Couzner will now hold this Position on the Management Committee for the next three (3) years. 4. S.A.H.P.A. Year Book: Mrs. C. Myers presented a Draft Copy as to the format that the Year Book will take for the Management Committees’ consideration. It is envisaged that the printing of the Year Book will take place as soon as possible. The Management Committee would like to thank Mrs. C. Myers and Mr. R. Fewings for their contribution in regards to the Year Book, which has been undertaken without Remuneration. 5. S.A.H.P.A. Blue Trailer The Management Committee have decided to put the Blue Trailer (Pigeon Unit) up For Sale. The Unit has a capacity of approximately 1,000 Birds. For further information please contact the General Secretary. 6. Training (Tossing) Unit: Expressions of Interest are now being sought from Members who are interested in Driving the S.A.H.P.A. Inc. Training (Tossing) Unit for the 2004 Season. Interested Members are asked to submit an Application for this Position with the General Secretary – No Later than Friday 20th February 2004. Block Plans All New Members – or existing Members who have changed their Residential Address are required to complete a Block Plan for the 2004 Season. A $20.00 Fee must accompany all Block Plans. Block Plans are required to be submitted along with the Club Membership Lists – No later than 28th February 2004. Block Plan Forms can be obtained from Club Secretaries, or by Phoning the General Secretary on 8258 2516. 8. MEETING CLOSED: 3.30 pm. 9.
