MINUTES OF THE S.A.H.P.A. INC. MANAGEMENT COMMITTEE
MEETING HELD AT THE S.A.H.P.A. HEADQUARTERS ON
SUNDAY 25TH MAY, 2003 – 2.30 PM.

1. Chairperson opened Meeting at  2.35 pm Attendance:  Mr. D. Thalbourne  (Chairperson) Mr. R. Chapman (Vice-Chairperson) Mr. J. Cock,  Mr. K. Pridham, Mr. P. Counzer, Mr. W. Moyle, Mr. R. Seedsman (General Secretary)

2. Apologies:  Mr. R. Fewings

3. Guest:  Mr. B. Fretter – Adelaide Pigeon Club

Mr. Brian Fretter attended the Management Committee Meeting to reply to allegations that had been raised against the Adelaide Pigeon Club.

After discussions had taken place, Mr. Fretter agreed to the Management Committee’s request to supply relevant information to the Management Committee in regards to the Adelaide Pigeon Club.

Provided that this information is forthcoming, the Management Committee consider this matter to be closed.

6. Treasurer’s Report:

Mr. Seedsman presented his December – April Profit & Loss Statement, highlighting certain aspects of this Report.

The Management Committee would like to pursue the consolidation of the S.A.H.P.A. Inc. Term Deposits into one or two accounts.

It was moved/seconded/carried that the Financial Profit & Loss Statement for the period December 2002 to April 2003 be accepted.
 

7. CORRESPONDENCE IN:

1. Sponsorship Contract from Coast FM:  Contract for the 2003 Season that covers Release and Result Details, plus 8.00 pm Fire-offs.  Action:  Management Committee approved the Coast FM contract for 2003 Season.
 

2. Minutes of the Central Federation 2003 A.G.M.:  Action:  Secretary
 to file.

3.      Letter from Para Club:  Enclosing a cheque from Mr. V. Kirk, who
Doesn’t fly Pigeons anymore, but is desirous to be a Member of the S.A.H.P.A.  Action:  Secretary to add Mr. Kirk to the Membership List.

  4. E-mail from Smithfield Club:  Seeking clarification on the Bird
Qualification Rule.  Smithfield Club would like to book the S.A.H.P.A. Headquarters for their Squeaker Sale on the 8th February 2004.  Action: Secretary to respond to Bird Qualification Ruling, and record Squeaker Sale Date.

5.      Letter from the Campbelltown Club:  Requesting permission to
hold  their Club’s Sires Produce in conjunction with Farina Y.B.C.  Action:  The Management Committee have approved the Campbelltown Club’s Request to hold their Club’s Sires Produce Race in conjunction with The Farina Y.B.C.

6.      Letter from Alexandra Pigeon Club:  Advising that they will be
Hampering and Clock Setting with the Strathalbyn Group.  Action:  Secretary to file.

7. Pigeon Pox Vaccination Form received from:  Central District Club.  Action:  Secretary to file with existing Vaccination Forms.
 
  8. Minutes of Adelaide 10,000 Meeting:  Minutes of Meeting held on
   30th April, 2003.  Action:  Copy of Minutes forwarded to all Club
   Secretaries.
 

 8. CORRESPONDENCE OUT:

1. Letters to Representatives of the Central Combine, Central
Federation and Relative Clubs:  In Regards to the ongoing dispute between the Central Combine and the Central Federation.

  2. Letter to Special Races Committee:  In reply to their Committee
   Meeting held on the 1st May, 2003.

  3. Letter to Mr. B. Fretter:  Requesting that Mr. Fretter attend the
   Management Committee Meeting to be held on the 25th May 2003.

4.      Letter to Mr. R. Dixon:  Enclosing a cheque for $40.00 being refund        of Capitation Fee less $10.00 Administration Fee.

5. Letter to Mr. J. Nisbet:  Informing him of the Management
Committee’s decision in regards to the Termination Period that has been set.

6.        Letter to Mr. N. Albanos & Mrs. M. Coleiro:  Advising them of
their Successful Application for Headquarters Cleaning for the 2003 Season.

  7. Letter to Mr. P. Trzeciak:  Advising him that his Tender for
   Headquarters Cleaning was unsuccessful.

  8. E-mail to Mr. R. Chapman:  Advising him of his Successful
   Application for Interim S.A.H.P.A. Inc. Vice-Chairperson.

  9. E-mail to T.T. Gully Club:  Advising that the Management
Committee have approved their Club’s Sires Produce Race to be flown in conjunction with the Farina Y.B.C.

10. Letter to Mr. J. Mifsud:  Advising him that the S.A.H.P.A. Journal
Is no longer being Published and enclosing his Subscription Fee for the Journal.

11. Letter to Australian Pigeon Fanciers Assoc:  Enclosing a Cheque
& Listing of Members who have joined the APFA for 2003 Season.

12. Letter to Campbelltown Racing Pigeon Club:  Refund of Capitation Fee paid for Mr. J. Budas, who has now transferred to Payneham Pigeon Club.

9. GENERAL BUSINESS:

1. Transport Unit/Trailer.

The General Secretary informed the Management Committee of a Pigeon Transport Trailer for sale in Victoria.

Mr. J. Cock to follow-up as to the suitability of this Unit.

The Management Committee have decided to hold this matter over until the next Management Committee meeting to allow for further investigation.

2. Release Guidelines:

Club Secretaries – Please find a copy of Release Guidelines for the 2003 Season enclosed.  Club Secretaries are asked to make all Members aware of these Guidelines.
 
 

3. Presentation Evening:

Held over until next Meeting.

4. 2003 -Association Trophy Awards:

The Association will continue to provide an award or similar to the Winner of each Association Race this Season.  The Ten (10) Association Race Winners will receive a Cheque for $100.00.  It would be appreciated if the Winner purchased a Trophy or similar award for Presentation at the end of the Season Function.

  5 Insurance on Clocks:
 
   Members are advised that any Clock that is dropped by Member/s
   Of any Club Clock Committee during SAHPA Races, is covered by
Insurance.  Members dropping their own Clocks are not covered by Insurance.

  6. Junior Flyers- Team Register:
 
Could all Junior Flyers please forward a copy of their Team Registers To:  General Secretary, 31 Meath Avenue, Salisbury Downs.   5108

  7. Release Details:
 
   Saturday Morning Release Details can be accessed on the SAHPA
   Website (www.sahpa.asn.au) or by phoning 8262.3857

Saturday Morning Radio - Members can tune into Coast FM – 88.7 at 9.30 a.m. to hear Release Information.  There will be a Repeat of the Release details again at 11.30 a.m.

Saturday Morning just prior to 9.00 am - Release Details will also be Available on 5RPH – 1197 AM

  8. Alice Springs - Transportation Tender:
 
Tenders are now being called for the Transportation of Birds for the Alice Springs Event.

The Special Races Committee wish to advise Prospective Applicants, that the SAHPA Trailer (Smaller Blue Unit) is the Unit that will be towed by the Person/s applying for the Tender Contract.

An appropriate sized/capacity vehicle will be required to tow this Unit.  A written quote to be submitted to the Special Races Committee, for Further details please contact Mr. Gavin Harris on 0418.853111.
 

  9. Sires Produce (W. Curnow)
 
   After further consideration as to Mr. W. Curnow’s predicament
   Regarding the Sires Produce Birds purchased in his name.  The
   Management Committee have decided that providing Mr Curnow
   Relinquishes all Personal and Monetary rights to these Birds, they
   Can be transferred into Mr. A. William’s name.

   This decision has been made on the basis of the extenuating
   Circumstances involved due to Mr. Curnow’s Ill Health.
