Minutes of the SAHPA Inc. Management Committee Meeting
Held at the SAHPA Headquarters on Tuesday 11th June, at 7.00 p.m.

1. Chairman opened meeting at  7.10 p.m. Attendance:  Mr. D. Thalbourne, (Chairman), Mr. J. Nisbet (Vice Chairman), Mr. T. Meekins, Mr. J. Cock, Mr. R. Fewings, Mr. K. Pridham, Mr. P. Couzner, Mrs. C. Myers, Mr. R. Seedsman.

3. Minutes of Previous Meeting – 14th May:  Moved/Carried

4. Business Arising from Previous Meeting:  Release Details

Tune-In to Saturday Morning Radio – 88.7 Coast FM -  Release Details and Information 9.30 a.m.  Repeated Release Details again at 11.30 a.m.

5. Treasurer’s Report:

Mr. Pethick apologized for being unable to attend the Meeting, giving reasons for his absence by way of Facsimile including a copy of the Profit & Loss Statement for the period 30th Dec 2001 to 31st May 2002, and an analysis into the possible Race Unit Purchase.

· Profit & Loss Statement

In Mr. Pethicks absence, the Committee were asked to peruse the Report and note any questions for discussion at the Next Meeting.

· New Race Unit

After considerable discussion, it was decided that a Deadline for a Complete Feasibility Study into the Possible Purchase of a New Race Unit be set for the end of August 2002.

Once the Committee have studied the Facts and Figures, keeping in mind the Financial Impact this will have on the Future Finances of the SAHPA Inc., a decision will be made as to whether the Purchase of a New Race Unit is a Viable Proposition or Not.

If in the opinion of the Committee that a New Race Unit is a Viable Proposition then all Facts & Figures will be presented to the Members for Their Final Decision.

· Systems Administration Officer’s Honorarium

It was moved and carried that the Systems Administration Officer’s Honorarium be set at $500.00 for the 2002 Season.

6. CORRESPONDENCE IN:

1. From Sth. Aust. Racing Pigeon Federation Inc. – Advising of
Office Bearers for 2002 Season.  Chairman – D. Thalbourne, Secretary/Treasurer – K. Moyle, also advising of Club Delegates.
Action:  Secretary to Note & File.

2. From Central Group – Minutes of Meeting held on the 14.5.02.
Action:  Secretary to File.

3. From Office of Consumer and Business Affairs – Re:
De-Registration of the Craigmore Invitation Racing Pigeon Club Inc.  Action:  General Secretary to Reply.

4. From Salisbury Inv. Racing Pigeon Club Inc. – Advising of the
Members acceptance of G & J. Watson as a Member to the Salisbury Inv. Racing Pigeon Club Inc.  Action:  Secretary to note
The Committee have approved the Transfer of G & J Watson.

5. From Smithfield Inv. Racing Pigeon Club – Request for the use
Of the SAHPA Headquarters to conduct a Squeaker Sale on
December 8th 2002.  Action:  Secretary to record on file.

6. From Smithfield Inv. Racing Pigeon Club – Advising of their
Intention to dissolve the Playford Group as the E.B.B.R.P.C. Are
Now flying in the Northern Group.  Action:  The Committee are of
The Opinion that as the Smithfield Club were credited with Group
Status in the past, they can see no reason for this situation to alter.

7. From Pt. Adelaide South – Requesting Late Membership for one
Of their Flyers.  Action:  Secretary to include on Membership List.

8. From Central Federation – Minutes of Delegates Meeting held
On the 21st May, 2002.  Central Federation have put in a request to lease the SAHPA Canteen.  Action:  The Canteen Lease has been approved for the remainder of 2002 Season, with a Right of Return for 2003 Season.

9. From Para Inv. Homing Club – Advising of name change for
One of their Members.  Action:  Secretary to make amendment
On Membership List.

10. From Mary & Peter Searle & Family – Thank-you to the
Members of the SAHPA for their Support & Understanding in
Their time of Grief.
 
 
 
 

11. From Rob & Margie Wilson – Congratulating the Management
Committee for their approval of the Two (2) Bird Special in
Conjunction with every SAHPA Race.  R & M Wilson enclosed a cheque for a Trophy for the Most Successful Flyer in the Two (2)
Bird Series for 2002  Action:  The Committee would like to thank Mr. & Mrs. R & M Wilson for their Trophy Donation regarding this Two (2) Bird Special Series.

12. Convoyer’s Report from Carrieton & Yunta 1 – Action:  Secretary to file.

13.  From G. Woodberry – Quote for the 2002 Season Photographs
       of the Twelve (12) SAHPA Winners.  Action:  The Committee
       have approved the Quote for SAHPA Winners Photographs.  It is
       envisaged that any Owner lucky enough to win a SAHPA Race,
       would contact Mr. G. Woodberry to establish a time for the
       Photographs to be taken.

14.  From Adelaide 10,000 Committee:  Minutes of Meeting Held on
On the 15th May, 2002.  Action:  Secretary to file.

15. From Pooraka Racing Pigeon Club – Request for the Late
Membership for one of their Flyers.  Action:  Secretary to include in Pooraka’s Membership List.

16. From Campbelltown Racing Pigeon Club – Request permission
To fly their Sire’s Produce Race in conjunction with Little Topar S.A.D.  Action:  Approval has been given for Campbelltown’s Sires Produce Race.

17. From Barossa/Angaston Homing Pigeon Club – Payment of
Affiliation Fee, and advising Name and Address for a new Member.  Action:  Secretary to forward cheque to Treasurer, and update Membership list.

18. Email from J. Hofman – Questioning Race Point Distance for
Yunta.  Action:  Secretary to follow-up J. Hofman’s enquiry.

19. From Barossa Valley Pigeon Club – Request for the use of the
SAHPA Hall on 24th November, to conduct their Sires Produce Sale.  Action:  Secretary to record on file.
 
 
 
 
 
 

20. Letter from Mr. Brian Mahomet – Mr. Jack Alldritt has asked
Mr. Mahomet if he could accept full Responsibility for the Setting Up of the SAHPA Inc. Display at this years’ Royal Adelaide Show, which he is quite happy to do.  Mr. Mahomet also outlined a few suggestions for the Committees’ Approval.

The Committee would like to thank Mr. Mahomet for his Acceptance of this Task.

If any Member can be of Assistance regarding the setting up, staffing the Stand etc., could they please contact the General Secretary.

The Committee would like to take this opportunity to thank Mr. Jack Alldritt for his input regarding the SAHPA Royal Show Display over a number of years.

7.    CORRESPONDENCE OUT:

1. Email to M. Pethick – Advising of Request for Capitation Fee refund of Two (2) Members from Southern Vales which has been approved less Administration Fee.

2. Email to Journal Editor – Advising of New Member of Salisbury Club’s Name & Address.  Advising refund of Capitation Fees for two (2) Members from Southern Vales Club.

3. Letter to Southern Vales Inv. Racing Pigeon Club Inc. – Regarding Certain Issues pertaining to their Correspondence dated 9th May 2002.

4. Letter to W. Moyle – Thanking him for his letter regarding the 2002 Race Program and Release Guidelines.

5. Email to Journal Editor – Confirming approval of SAHPA Journal’s continuance for the 2002 Season.

6. Email to G. Woodberry – Requesting a Quote for the Photographing of the 12 SAHPA Winners for 2002 Season.

7. Letters to the Unit Loading Stewards/Unit Cleaners – Reminder that the Person receiving an Honorarium for His/Her Services, are the only one that is covered under the SAHPA Inc. Work-Cover Policy.

8. GENERAL BUSINESS

1. 2001 LIFE RING MONEY REFUND
Ring Money refund for this Season has been calculated on the number of rings processed through Individual Clubs.  The Clubs will be reimbursed 15 cents per Ring, in the form of a Cheque, just prior to this year’s Derbies.

Under this system, it is in the Best Interest of Members to purchase their Life Rings through their Clubs.

2. PRICE OF LIFE RINGS FOR SEASON 2003                After considerable discussion, and with the increasing yearly running costs of the Association in mind, the Committee have decided to increase the Price of the SAHPA Life Rings.

The cost of Life Rings shall be 50c per ring.

4. ELECTRONIC TIMING SYSTEM.

Electronic Clocking Survey – Unfortunately only 100 Members took the trouble to complete the Survey.

The Results are as follows:

ü 29 – Against the Electronic Timing System
ü 41 – For the Electronic Timing System
ü 30 – Members had no objection to others using the
              System.

After taking note of the Results of this Survey, and the fact that approximately 240 Members failed to register an opinion, the Committee feel the Members should be given the opportunity to discuss this New Timing System before making a decision as to its Introduction.

In the interim with this method being introduced within the Greater Melbourne Pigeon Federation Inc., the Committee will have a chance to identify any problems that may occur, especially the possibility of Multiple Manufacturers, Ongoing Support and compatibility issues.

It is therefore suggested that any Club/s who are interested in Introducing the Electronic Timing System, present a Notice Of Motion to be Tabled at the 2003 A.G.M.

5. ADELAIDE PIGEON CLUB.

The Secretary informed the SAHPA Committee of the Formula that has been used to calculate the Affiliation Fee that the Adelaide Pigeon Club is required to pay for the 2002 Season.

The Adelaide Pigeon Club is also required to pay all Cartage Fees per Bird in accordance with the SAHPA Inc. Race Program.

6. CLOCK CHAIRMAN’S MEETING.

(a) Meeting of Club Secretaries and Clock Chairman
Club Secretaries are to be advised that a Meeting of Club Secretaries with the SAHPA Clock Chairman will be held on 15th July, 2002 - 7.30 p.m.
 
 

All Club Secretaries – Please Note:
All Clubs are to be represented as the information to be handed down and discussed is important to all Flyers who wish to Fly Association Races.
Fines may be imposed for Non-Attendance with no reason offered or apology provided.

           (b) Clock Register – ALL CLUBS
    Clock Registers should be forwarded to the General
    Secretary NO LATER THAN 15th July, 2002.
 
  Could each Club Clock Chairperson, please check to   ensure all Members are listed on each Clock Register.
 
          (c) Fire-Off  - Association Races
    The SAHPA Clock Chairman will be providing
    Information to Club Secretaries at the forthcoming
    Secretaries Meeting as to the Firing Off Format for
    2002 Season.

The S.A.H.P.A. would like to sincerely pass on our condolences to the Family & Friends of the Late Mr. J. Todd.

  8. RING TRANSFERS
                                  Any outstanding Ring Transfers for the 2002 Season will only
   be accepted with the approval of the General Secretary.
A Fee of $5.00 Per Transfer Card is applicable if approval is Granted.

   Circumstances*

  9. MEMBERS BEHAVIOUR

  10.       ALICE SPRINGS -  TRANSPORTATION TENDER

Tenders are now being called for the Transportation of Birds for the Alice Springs Events.
The Special Races Committee wish to advise Prospective Applicants, that the SAHPA Trailer (Smaller Blue Unit) is the Unit that will be towed by the Person/s applying for the Tender Contract.

An appropriate sized/capacity vehicle will be required to tow this unit.

11. SIRES PRODUCE, COCK BIRD SPECIAL TRANSPORTATION TENDER

Tenders are now being called for the Transportation of Birds for the Wilcannia Sires Produce/Cock Birds Special Event to be held on the 31.8.02.
