MINUTES OF THE S.A.H.P.A. Inc. MANAGEMENT COMMITTEE
MEETING HELD AT THE S.A.H.P.A. Inc. HEADQUARTERS
ON MONDAY 18TH JUNE 2007 – 7.30 pm.

1. CHAIRPERSON OPENED MEETING AT:  7.35 pm  Attendance:  Mr D Thalbourne (Chairperson), Mr F DiMella, Mr G Hamilton, Mr J Marafiote, Mr W Moyle, Mr K Pridham, Mr R Seedsman (General Secetary), Mrs C Myers (Assistant Secretary).

5. MATTERS HELD OVER:

GUEST:  Mr G Watson (Promotions Officer)

 Mr G Watson raised issues in relation to the Promotions Sub-Committee
 Meeting held on the 5th June 2007.

POINTS OF INTEREST

Ø The purchase of Banners to brighten up Stand as an important tool to let the Public know who we are.  (John Harper to pursue cost and layout).
Ø Apprenticeships with members who are prepared to do so, are rated as one of the most important steps towards achieving new Members and Juniors.  Is it possible to establish a list of Flyers that are willing?  Ground rules of the SAHPA would have to be established if they are not already available.
Ø Electronic timing must help people who cannot participate due to work and other commitments.
Ø Give away items at the Expo are a must, (the July Billing’s key ring was a success).  Biros are too expensive – more ideas are needed because it is the Children who are the first to grab the giveaways.
Ø Suggestions from all members on how to lift our Public profile are welcomed.
Ø A promotion display under the Promotions title currently on the SAHPA Web Page to highlight promo intentions.

Mr Watson has decided to postpone his involvement for the next two (2) months due to health reasons.

The Promotions Sub-committee appreciate the Management Committees’ support over the past 18 months.
 
 
 

6. TREASURER’S MONTHLY REPORT:

The Treasurer presented his Report for the period 1st December 2006 through to the 31st May 2007.

The Report indicates that a small loss has been recorded for this period with the payment of Overseas Stock having an impact as forecast in the previous months Treasurer’s Report.

7. CORRESPONDENCE IN:

1.  Convoyer’s Reports – Carrieton 1, 2 & 3 & Keith 1.

2.          Letter from the S.A.H.P.A. Inc. Convoyer (Mr R Billing) -
  Outlining an incident arising en-route to the second Carrieton and
   Requesting the Management Committee become more involved
  With the Main Race Unit.  Action:  The Chairperson (Mr D
  Thalbourne) will investigate the matter further with Mr R Billing, to
  Clarify some of the issues raised in Mr R Billing’s letter.

3     Letter from the Keith Homing Club – Advising of their
 intentions to transport with the Association for Mitiamo 1 & 2,
 Berrigan 1, Coober Pedy 1 & Holbrook.  Also advising Club
 Members for 2007.  Action:  The Management Committee have
Approved the Keith Homing Clubs’ request, providing all Time-Lines
In respect to the Birds arriving at SAHPA Headquarters for
Transportation are met.

4.  Letters from Alexandra, Barossa Valley, Elizabeth & Strathalbyn Clubs – Advising of their Group Status for the 2007 Season. Action:  Secretary to file for when Group Status is considered.

5.  Email from Jacqueline Smith (Divisional Superintendent
 Noarlunga No 2 Cadets) – Requesting a Guest Speaker from the
 Association to attend a Cadet Meeting to give an insight into the
 Caring & training of Racing Pigeons.  Action:  Representative/s of the
 SAHPA Inc .Promotions Sub-Committee will organize an attendance
 At a future Cade Meeting as requested.

6.  Adelaide Ten Thousand Committee – Minutes of Meeting held on
       Wednesday 23rd May 2007.

POINTS OF INTEREST

o Race will be held from Roxby Downs on Sunday 5th August 2007 (Weather Permitting)
o All Nominators who are part or fully paid up for the 2008 Adelaide Ten Thousand Event will go into a draw for one Free entry into the 2008 Event.
o All Nominators who have not part or fully paid up by the 5th August  2007 will lose their continuity rights.

      8. CORRESPONDENCE OUT:

 1. Letters to Mr J Harper & Mr R Smart – Thanking them for the
  release of Pigeons at the Anzac Day March.

2. Letter to Mr G Watson (Promotions Committee) – Inviting him to
The Management Committee Meeting to be held on Monday 18th June 2007.

3. Letters to Messrs R Hill, J Jarzabek & Z Zyczko – informing them
Of the Bird Qualification Ruling for 2007 Season, and verification of the Qualification Rule is required, therefore they are requested to Hamper in conjunction with another Club.

 4. Email to Mr Wayne Nagle (Defence Dept) – Informing him that
  S.A.H.P.A. Inc. Members have been informed with regards to the
  Release of Training Pigeons from the Proof Range Area.

5.       Letter to M Coleiro – Advising of approval for Cleaning Contract for
SAHPA Headquarters for the 2007 Season.

9. GENERAL BUSINESS:

1.         REMINDER:

INTERNATIONALLY RUNG BIRDS:

Any Bird that has been rung with an International Life Ring will be ineligible to compete in all Races conducted by the S.A.H.P.A. Inc in accordance with R.B.L. 31.

2. 2007 – ASSOCIATION TROPHY AWARDS:

The Association will continue to provide an Award or similar to the Winner of each Association Race this Season.  The Twelve (12) Association Race Winners will receive a Cheque for $100.00

It would be appreciated if the Winner purchased a Trophy or similar award for Presentation at the end of the Season Function.

  The two (2) Special Race Winners (Lyndhurst & Wedderburn) will
  Receive a Trophy provided by the S.A.H.P.A. Inc.
 
 

3. COST OF SA 2007 LIFE RINGS:

The Management Committee have approved the cost of Life Rings for the 2008 Racing Season at $0.40c per Ring.
 

4. BIRD NUMBER PER LOFT:

The Management Committee would appreciate Members who carry a great number of Birds, to give some thought to the future of the Sport – especially the impact associated with carrying large numbers of Birds has on the General Public, Neighbours, associated problems with Councils & Health Regulations, which has the potential to be detrimental to the Association and the Sport.

6. CLOCK CHAIRPERSON’S MEETING:

a. Meeting of Club Secretaries and Clock Chairpersons:

Club Secretaries are to be advised that a Meeting of Club Secretaries with the S.A.H.P.A. Inc. Clock Chairperson will be held on – Monday 23rd July 2007 – 7.30 pm.

All Club Secretaries – Please Note:

All Clubs are to be represented as the information to be handed down and discussed is important to all flyers who wish to fly Association Races.

Fines may be Imposed for Non-Attendance – with no reason offered or Apology provided.

b. Clock Register – ALL CLUBS:

Clock Registers should be forwarded to the General Secretary NO LATER THAN – Monday 23rd July 2007.

Could each Club Clock Chairperson – Please check to ensure all Members are listed on each Clock Register.

c. Fire-Off – Association Races:

The S.A.H.P.A. Inc Clock Chairperson will be providing information to Club Secretaries at the forthcoming Secretaries Meeting as to the Firing-off Format for the 2007 Season.

d. Electronic Timing System:

Serial Numbers of each Member’s Electronic Clock is required to be in the hands of the General Secretary NO LATER THAN – Monday 23rd July 2007 – along with each Member’s Allocation List of Birds to be raced.

Seal Number of Sensor/Antenna at fixed Point of entry and a photo of fixture point of Sensor/Antenna is also required by the above date.  Members whose Sensor/Antenna is still fixed at the Original Place with Seal intact from the 2006 Season, do  not need to re-submit a photo etc.

7. S.A.H.P.A. ELECTORATES:  2007 – 281 MEMBERS

Eastern Electorate   24.55% Members
Hills Electorate   14.94% Members
Northern Electorate   18.86% Members
Southern Electorate   25.26% Members
Western Electorate   16.37% Members

The Management Committee have decided the Member participation per Electorate will remain as above for the 2007 Season.

 Copy of 2007 Electorates sent to all Club Secretaries.

8. 2007 PRESENTATION EVENING:

Mrs C Myers to investigate suitable venues.

9. RANDOM DRUG TESTS:

Random Drug Tests will be carried out once again in the 2007 Season.

Association Races:

The Management Committee have decided that the Winning Owners Birds will come under consideration for Drug Testing in the 2007 Season.

10. S.A.H.P.A. Inc. AGGREGATE POINTS JACKET:

The Association will provide a Voucher for a Jacket to the value of $200.00 for this year’s Aggregate Points Winner.

The Jacket will be presented to the 2007 Winner at the End of Season Presentation Evening.

11. TOSSING OF BIRD/S – ASSOCIATION RACES:

The First (1st) Second (2nd) & Third (3rd) placed Bird of each Association Races MUST BE TOSSED WITHIN SEVEN (7) DAYS of Homing from the Race.

The Club Chairperson or Secretary shall Toss the Member/s Winning or Place-Getting Bird, and must verify in writing that the Bird was tossed.

The Bird Verification Form is to be duly completed, signed accordingly, and returned to the General Secretary.

12. JUNIOR CLOCKS:

The Management Committee have endorsed the Clock Chairperson’s Recommendation that all Members with Junior Clocks must have two (2) check prints on Clock Reading Night.  (i.e.) Junior Clocks are to be fired off Twice on Clock Reading Nights.

13. CLOCK PRESENTATION – CLOCK READING NIGHT:

Members are reminded that it is their own Responsibility to have their Clock presented at the appropriate time on Clock Reading Night if they require a reading.

14. FIRING-OFF PROCEDURE:

All Clubs/Groups are requested to appoint a designated Person to oversee the Firing-off of Clocks by the Telstra Time Message – 1194.

Firing-off of Clocks on Hamper Night at 8.00 pm – with additional Check Print Fire-off thirty (30) seconds later, or otherwise under instruction from the Clock Chairperson.

The S.A.H.P.A. Inc Clock Chairperson – Mr K Pridham – will be ringing Clubs/Groups on a Random Basis to initiate a Fire-off on Clock Reading Nights.

15. SEALING OF HAMPERS – S.A.H.P.A. INC. RACES:

Club Secretaries – Please be Advised:

Only record the Numbers of the Seals that are to be used for the Sealing of Hampers for the 2007 Season.

For example – If Ten (10) Hampers are used that require seals to three (3) access doors per Hamper – only the numbers of the Thirty (30) seals need to be recorded on a piece of paper and placed in an envelope for checking at S.A.H.P.A. Inc. Headquarters.

The Management Committee are planning a Discussion Evening with Association Members.  At this stage it is scheduled for the 13th August 2007 – 7.30 pm at S.A.H.P.A. Headquarters.

An Agenda, including a number of Topics is currently being drawn up for further discussion at the next Management Committee Meeting.
