MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A.Inc. HEADQUARTERS ON MONDAY 17th November 2008. 7.30 p.m 1. Chairperson opened meeting at: Attendance: Mr D. Minutes of previous Meeting: Moved / Seconded /Carried 4. BUSINESS ARISING FROM MINUTES Nil. 5. TREASURERS MONTHLY REPORT. The treasurer presented his report for the period 1st October 2008 through to 1st November 2008. Moved /Seconded /Carried 6. CORRESPONDENCE IN. 1. LETTER FROM MR J. HOFMAN-RE: Concerns over the line of flight chosen by the members Action : Management committee to review Mr J.Hofmans suggestions ,to be carried over at a later date. 2. LETTER FROM RICK WILLIAMS – RE: Conditions of racing of pigeons. Action: Mr G Hamilton to review the release guidelines for the racing of pigeons. 3. EMAIL FROM GARY LILLINGSTON- Members from Smithfield happy with the release of the birds from Coober Pedy. Action: The management would like to thank Mr G Lillingston and the members of his club for there support. 4. EMAIL FROM MIKE SHEPHERDSON: Been approached by the Playford Council re: feral pigeons. Action: Mr G.Watson to contact Mr M.Sheperdson regards help with the Playford council. 5. EMAIL FROM SOUTHERN DISTRICTS RE: The management Committee decision on the last two races on the program. Action: The reasons the management committee changed the race points from Cobar/Nyngan to Coleambally/Temora was for the welfare of the pigeons. The races from Cobar and Nyngan proved to be difficult with poor returns. This is generally in line with the experience of previous racing from these race points. The poor returns became the key discussion point within the management committee. It was because of the poor returns and the fact that the management committee is duty bound to take into account the SAHPA Race Bylaws and the SAHPA Code of Practice for the welfare of pigeons that the committee changed the race points. The management committee is the body representing the SAHPA and its members should a dispute with outside bodies arise. Hence the conservative approach and the change of race point. 6. EMAIL FROM THE RSPCA : Concerns over pigeon racing in South Australia. Action: The General Secretary to speak to the RSPCA stating that we are happy to meet with them and explain the guidelines that the SAHPA Inc. race under for the welfare of our pigeons. 7. MINUTES FROM AAL/PAL BIRD MANAGEMENT: Action: Mr D. Thalbourne to attend the next meeting . 8 LETTER FROM MR G.HARRIS : Nominating for the position Representative for the Southern Electorate. 9. LETTER FROM MR W.MOYLE: Nominating for the position Representative for the Southern Electorate. Action: General Secretary to post ballot forms to members in the Southern Electorate 10. LETTER FROM MR D.WALKER: The management committee approved a 30cent per kilometre rebate for Mr D Walker for all the kilometres travelled doing the year book. 8. CORRESPONDENCE OUT: 1 LETTER TO MR B OAKEY: Regards refund for capitation fee Management will refund 50% of his fee towards next years fee. 2. LETTER TO MR T.LANGSFORD : Letter to Mr Langsford re: his concerns over the Coober Pedy release the Management Felt the best decision was made on the day. 9. GENERAL BUSINESS: 1. NOTICE OF MOTION CHANGES FOR 2009 Club wishing to make Submission for rule changes and/or By- Laws changes must do so by Close of mail 30th December 2008 Clubs are eligible –NOT GROUPS. To lodge Notice of motions, and any such notice must be Accompanied by evidence of the Club Meeting held – Date,Time,Number of members attending, must accompany The Advise of the notice. NO NOTICE WILL BE ACCEPTED AFTER THE 30TH DECEMBER 2008 2. THE CHAIRPERSON & VICE CHAIRPERSON VACANCIES: The General Secretary is now calling for appliciations from Interested persons for the position Chairperson and Vice Chairperson. These positions will be voted on by the S.A.H.P.A. CAPITATIONS FEES: Capitation Fees for 2009 will be $55.00. 6. LETTER TO BE SENT TO MR R.HILL: Thanking Mr Hill for the work on the loading dock . The management will review the loading dock at a later date. 7. QUALIFICATION OF YOUNG PIGEONS: Young birds to qualify on the same line of flight for the long race points Moved /Seconded /Carried 8.NOMINATION FORMS :The Management has approved New nomination forms to be printed with 30 birds per page and 3 copys one for SAHPA ,one for club ,one for owner. 9. CANTEEN HONORARIUM: The Management has approved an honorarium of $500 to be paid to Dave and Sophia Thalbourne for there work in the canteen.
