MINUTES OF THE S.A.H.P.A. Inc.MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A. Inc. HEADQUARTERS ON MONDAY 16TH JUNE 2008 -7.30PM.

1.    CHAIRPERSON OPENED MEETING AT:     Attendance: Mr D.Thalbourne ( Chairperson ), Mr G.Hamilton, Mr W.Moyle, Mr K.Pridham, Mr G.Watson, Mr D.Walker,Mrs C.Myers(General Secretary) Mr D.Cawte, (Treasurer).

2.    APOLOGIES:    NIL

3.   INVITED GUEST-  Alan Theide to discuss the insurance coverage for the S.A.H.P.A.  Inc.


    4.   MINUTES OF PREVIOUS MEETING:   Moved /Seconded / Carried.


5.    BUSINESS ARISING FROM PREVIOUS MEETING
1.    Mr D.Walker presented a copy of the review of the Code of Practice.
2.    Mr D.Walker has someone who will take the straw from the unit if the S.A.H.P.A. purchase a trailer to do so,anyone who has a secondhand one for sale contact the General Secretary

3.    Trapping cages for feral pigeons are available from the Ring Secretary  for $20.00 a week. Instructions are to be put on the website and a copy to Rosie.
4.  Electronic pads – Distance between pads is still under review discussions with G.Harris,T.Tirrell, and P.Springett continuing.

6.    TREASURER’S MONTHLY :
Treasurers monthly report read for month of May 2008.

2. Letter from Mr I. Yeing – Regards increases due to ongoing fuel costs.    Action: Contact Mr I Yeing regards costs going down ,will there be a review if costs go down.
Costs to the flyer will be retained at current cost and be reviewed at the next meeting.

3. Letter from Mr D. Brockensha-  Regarding letter from the Salisbury council about training pigeons near the Parafield airport : Action:  General Secretary to speak to the chairman of the Nth Suburban in relation to these issues.

4.Quote From Evastrong- Quote for a building to be put on the Association grounds in the future.Action : To be held for future reference.

5. Letter from Barossa Valley Club-Squeaker sale to be held on the 7th December at the Lyndoch oval.    Action : Secretary to file.

6. Membership List –Membership list and vaccination form from Balaklava/Wakefield.    Action: General Secretary to file.

7. Letters from Central Districts,  Elizabeth .Port Adelaide North and South,Southern Vales,Strathalbyn-  Advising of their group status for the 2008 season. Action: Secretary to file.

8.    Late payment fee –Late payment fee for Daniel Elvin and Noel Fiebiger to join S.A.H.P.A.  Action: Approved –secretary to file.

9.GENERAL BUSINESS.

1. SAFETY ON THE LOADING DOCK-
  Issues with safety while loading the birds on the loading dock   ACTION: Working group G.Watson, D.Walker and C Myers to look into ways to making loading the birds on the unit easier and safer for the future of our sport.



3.    CAGE FOR KEEPING LOST BIRDS:
Request from the Ring Secretary for a small cage to keep lost pigeons.  ACTION: Approval has been given for the purchase of a small aviary for the  keeping of lost pigeons G.Watson to arrange for delivery of aviary.

3.  ASSOCIATION TROPHY AWARDS:
  The association will continue to provide an award or similar to the winner of each association race this season.The 11 association winners will receive a cheque for $100.00 .The two 10 bird race will receive a trophy .
It would be appreciated if the winner purchased a trophy or similar to be presented at the annual presentation.

3.    COST OF 2008 LIFE RINGS : The cost of life rings for the season 2009 will remain at 40 cents per ring.

5.    CLOCK CHAIRPERSON ‘S MEETING:

a.    Meeting of club secretaries and clock chairpersons

Club secretaries are to be advised that a meeting of club secretaries with the S.A.H.P.A.  clock chairperson will be held on –Monday 21st July 2008 – 7.30p.m.

ALL CLUB SECRETARIES – PLEASE NOTE :

All clubs are to be represented as the information to be handed down and discussed is important to all flyers who wish to fly association races.

Fines may be imposed for non-attendance. – Fine of $20.00 will be imposed for on any club for  non-attendance for no reason offered or no apology provided.


b.    Clock Register – ALL CLUBS:
Clock registers should be forwarded to the general secretary   
NO LATER THAN – MONDAY 21ST JULY

Could each club clock chairperson please  check to ensure all members are listed on each clock register.

c.  Fire off Association races
The S.A.H.P.A. clock chairperson will be providing information to club secretaries as to the firing off format for the 2008 season.

FIRING OFF PROCEDURE:
All clubs /groups are requested to appoint a designated person to oversee the firing off of clocks by the Telstra time message -1194-  
Junior clock,Electronic Timer,Master Clock. PLEASE CHECK ALL CLOCK AND TIMERS REGULARLY WITH TELSTRA 1194.
Firing off of clocks on hamper night at 8.00pm –with additional check print fire off 30 seconds later ,or otherwise under instruction from the clock chairman.

d.Electronic Timing Systems :
Serial numbers of each member’s electronic clock is required to be in the hands of the general secretary NO LATER THAN MONDAY 21ST JULY 2008 – Seal number of sensor /antenna at fixed point of entry and a photo of fixture point of sensor/antenna is also required by the above date.Members whose sensor/antenna is still fixed at the original place with seal intact from 2007 season do not need to submit a photo.

9.    2008 PRESENTATION EVENING: General Secretary to book




10.    RANDOM DRUG TESTS-  Carried over to next meeting.




11.    S.A.H.P.A. AGGREGATE POINTS WINNER: Jacket or something to the value of to be presented at the presentation evening.





12.    TOSSING OF BIRDS:
The 1st,2nd,& 3rd placed bird of each association race MUST BE TOSSED WITHIN SEVEN DAYS  OF HOMING FROM THE RACE.
The club chairperson or secretary shall toss the members winning or place getting bird,and must verify in writing that the bird was tossed on a bird verification form.



13.    SEALING OF HAMPERS S.A.H.P.A RACES:

Club Secretaries – Please be advised:
Only record  the number of the seals that are to be used for the sealing of hampers for the 2008 Season.They are to be recorded on a piece of paper and placed in an envelope for checking at the S.A.H.P.A. headquarters.


14.    CABINET IN THE HALL Re : Concerns over unsafe glass in the display cabinet near the canteen . Action: G.Watson to look at glass .Mrs  C Myers to look at purchasing a bigger secondhand display cabinet.
