MINUTES OF THE S.A.H.P.A Inc. MANAGEMENT COMMITTEE
MEETING HELD AT THE S.A.H.P.A. Inc. HEADQUARTERS
ON TUESDAY 15TH MAY 2007 – 7.30 pm.

1. CHAIRPERSON OPENED MEETING AT:  7.35 pm Attendance:  Mr D Thalbourne (Chairperson), Mr F DiMella, Mr G Hamilton, Mr J Marafiote, Mr W Moyle, Mr K Pridham, Mr R Seedsman (General Secretary), Mrs C Myers (Assistant Secretary).

2. APOLOGIES:  Nil

3. GUESTS:  Mr G Harris (Special Races Committee Representatives)
       (Apology – Mr G Hodgins)

 Mr Harris was invited to the Meeting to give an overview of the Special
 Races Committees’ strategies that have been put in place for the 2007 Alice
 Springs Event.

Points of Interest leading up to the Release on 31.8.07

? Birds to be Hampered on Wednesday 29.8.07 and will travel by Qantas Airlines to Alice Springs where they will be transferred into a Unit on arrival.
? Birds will be transported to the Release Point on Thursday Afternoon so they can settle, feed & water.  The Birds will be fed & watered again on Friday Morning of the Release.
? Mr Bunny Snyders to be contacted to act as Convoyer.
? The S.R.C. will liaise with the S.A.H.P.A. Inc Release Panel in respect to a Release decision.
? The Recorded Phone Message facility at S.A.H.P.A. Inc. Headquarters will be utilized to advise Members as to hampering proceeding based on the Weather Forecast.

The Management Committee thank Mr Harris for his attendance and express their willingness to help the S.R.C. if requested to gain a positive result for the 2007 Alice Springs Event.

6. TREASURER’S MONTHLY REPORT:

The Treasurer presented his Report for the period 1st December 2006 through to the 30th April 2007.
 
 
 

The Report indicates a small Profit has been recorded for the period, with the Treasurer expressing that the Report for the following period to the end of May, will be impacted on by the purchase of Overseas Stock and a recorded Loss being forecast.

7. CORRESPONDENCE IN:

1. Vaccination Forms – Received from Various Clubs.

Clubs are reminded that Vaccination Forms should have been forwarded to the General Secretary by the 30th April.

Individual Members whose birds have not been verified as being Vaccinated on the Club’s Vaccination Form by 30th April, will be required to apply in writing along with proof of verification, seeking the Management Committees’ Approval before their Birds will be accepted on the S.A.H.P.A. Inc. Transporter.

2. Letter from the Glenelg Racing Pigeon Club – requesting a Refund
For Mr V Eldic’s Capitation Fee.  Action:  As the request was made before the 30th April, Mr Eldic’s Capitation Fee will be refunded.

3. Late Membership Applications from – Mr S Harwood, Buxton &
Snyders & B Dawson & Hui. Action:  Late Membership has been approved.

4. Minutes from Special Races Committee – Meeting held on Tuesday
13th March 2007.

Copy to be sent to all Club Secretaries, and to be placed on the S.A.H.P.A. Inc. Website.

5. Minutes from Promotions Sub-Committee – Meeting held on
Tuesday 8th May 2007. Action:  Held Over.
Mr G Watson to be invited to the next Meeting.

6. Email from Mr G Watson – Advising of complaints relayed to him by Mr W Nagle (Defence Dept) in regards to Members releasing Birds from the Pt. Wakefield Proof Range.

Members please note:
Members who release their birds for training from the Proof Range area – South of Pt. Wakefield – are requested to abide by the signs erected adjacent to Buildings etc., or seek permission before releasing birds – especially when Test Firing is being carried out.

The area is Government Property and fines are applicable for ignoring the above.
 

8. CORRESPONDENCE OUT:

1.   Letter to the Royal Agricultural & Horticultural Society of S.A.
 Inc. – Requesting two (2) Complimentary Royal Show Passes for the
 Association Members who look after the Information Stand in 2007.

2. Letter to Para Hills Community Inv. Racing Pigeon Club  - In
Regards to their concerns re:  The S.A.H.P.A. Inc. Main Race Unit Drink & Feed Troughs, and the possibility of using the Association Hall for the processing of Results during Group Races.

3. Fax to Magill Grain Store – Informing them that their Tender for
Pigeon Mix & Barley Straw for 2007 has been accepted.

4. Fax to Mr I Yeing – Informing him that his Tender for Cartage of the
Association Main Race Unit to designated Race Points for 2007 has been accepted.

5. Fax to MSR Transport & Clarke Bulk Pty Ltd – Advising that their
Cartage Tender for the Main Race Unit to designated Race Points for the 2007 Season has been unsuccessful.

6. Email to the Smithfield Club – Advising that the two (2) races from
Nhill will be hampered on Thursday Evenings.

7. Letter to Mr G Hodgins & Email to Mr G Harris (Special Races Committee Representatives) – Inviting their Attendance at the Management Committee Meeting on Monday 14th May 2007.

8.   Copy Of Promotions Committee Meeting Minutes (held on Tuesday
 2nd April 2007) – Sent to all Club Secretaries.

9.   MATTERS HELD OVER:

      1.   CLUBS WITH LIMITED MEMBERS:

  All Clubs who have a limited number of Members (eg) one (1) or two
  (2) Members, are requested to Hamper and Process their Clocks during
  Club and Association Races in conjunction with another Club for Club
  And Association Races in 2007.

  Clubs are requested to accept S.A.H.P.A. Inc. Members who find
  Themselves in the above situation, in order to uphold the S.A.H.P.A.
  Inc. Verification Ruling in regards to the Qualification of Birds that
  Compete in the S.A.H.P.A. Inc. Derbies and Sires Produce Events.

  The Operational Costs levied on these Members to facilitate the
  Above should be kept to a minimum.

10. GENERAL BUSINESS:
 
1. HEADQUARTERS’ CLEANING CONTRACT:

Mrs M Coleiro’s Application for the position of Headquarters’ Cleaner
Has been accepted for the 2007 Season.

2. GROUP MAKE-UP FOR 2007 SEASON:

 All Club Secretaries are required to advise the General Secretary by
 Friday 15th June 2007 of the Group in which they will be flying
 Association Races for the 2007 Season.

 This information is required so that the Management Committee can
 Issue a list of Hampering Centres and Clock Reading Centres.

3.   COLLECTION OF STATISTICS FOR 2007 SEASON – Racing
 Pigeon Returns:

 After some discussion the Management Committee are of the opinion
 That Statistics as to the Return of Birds from S.A.H.P.A. Inc. Races
 Will apply for the 2007 Season.

 These Statistics will be recorded for the purpose of demonstrating to
 Any outside interests that as a Controlling Body we are seen to be
 Responsible for the Welfare of our Birds.
 

 Under no Circumstances will these Statistics be made available to
 An Outside Body without the Consent of the Management
 Committee.
 

 The appropriate forms will be forwarded to Club Secretaries in due
 Course, it would be appreciated if Clubs support this concept, and
 Return their Statistic Sheets to the General Secretary on the Hamper
 Night following each Race.

7. UNIT LOADING ROSTER – 2007 SEASON:

? Clubs with 1 – 15 Hampers - Send 1 Driver & 2 Loaders
? Clubs with 16 or more  “      - Send 1 Driver & 3 Loaders

*PLEASE NOTE:

When your Club arrives at Headquarters, one (1) Loader is to immediately take the Paper Work to the Office Window for Payment.
Once Receipt of Payment has been accepted, your Loading Slip will be returned stamped Paid.  The Loading Slip will also advise of a loading number - indicating your Club’s Position in the queue for the Loading of your Club’s Birds onto the Main Unit.  The Driver is to stay with the Vehicle.  The other Loader/s are to keep an eye on the progress of the queue and where applicable, one (1) and or two (2) Loaders are to get up to the Loading at the following time:

To help put Hampers away for – “The Vehicle/Unit in front of your Club, stay for your Club and the two (2) Vehicles/Units following.

The more support Clubs give to the Loading Procedure, the quicker the Birds will be loaded – enabling the Birds and Loaders etc., to depart Headquarters a lot earlier.

8. LIFE RING TRANSFERS - $1.00 per CARD:

Please advise Members that all Transfers are to be forwarded to the Ring Secretary – By the First Race Night – Friday 25th May 2007.

9. COLOURED LABELS FOR HAMPERS:

Large Unit Labels
Red   Cocks
Blue   Hens
Sires Produce Labels
White   Cocks
Orange   Hens
Special Races
Yellow   Cocks
Green   Hens

The above Coloured Labels are the ONLY ONES to be accepted on the Loading Dock!  Coloured Labels will be available on Hampering Nights.

10. RACE RESULTS:

All Club Results will be accessed from the Computer Generated Result.  Clubs with no access to a Computer may lodge their Results with Mr David Thalbourne.

11. RELEASE DETAILS – INFORMATION LINE:

For recorded Race & Release Information – Please ring 8262.3857.  This Service will enable up to twelve (12) Callers at the same time.

A Brief Message will be heard detailing Release & Weather Details – at the end of the Message, you will hear “This is the end of the Message – Please hang up now”.
On hearing this message, please hang up immediately to allow other Members access.

DO NOT HANG ON TO LEAVE A RETURN MESSAGE!

No Message will be accepted or listed to!

Similar Details will be on the S.A.H.P.A. Inc. Website – www.sahpa.asn.au.  If there is a possibility of Bad Weather and changes may occur, then All Club Secretaries are to Monitor the situation on the info-line – 8262 3857.

Race Release Details can also be accessed on Radio 5RPH Saturday Mornings at approximately 8.55 am.
