Minutes for SAHPA Inc Management Committee Meeting
Held at SAHPA Headquarters on Wednesday 24th April, 2002 – 7.00 p.m.

PRESENTATION BY GAVIN HARRIS ON SAHPA COMPUTER PROGRAM SYSTEM FOR 2002.

Mr. Harris gave a display as to how the Computer System for Race Results for Season 2002 would apply.  The System enables Clubs to download Race Distances for all Members & Group Centres to table results on-line.  The Computer System has the ability to process more than one Race Result at a time, it also has the ability to change Race Point Distances for competing members as required, and collates results as they are being keyed in.

The Management Committee were very impressed by the Display, and thanked Mr. Harris for his input.

It is envisaged that Training Nights for Computer Operators will take place on Monday 13th May & Wednesday 15th May.

Mrs. Cheryl Myers will be in contact with Computer Operators as to attendance for Training Nights.

The Management Committee would like to thank Mrs. Cheryl Myers and Mr. John Cock for their ongoing input into this new system.

3. Minutes of Previous Meeting – Tuesday 2nd April - Moved/Carried.

4. Business Arising from Previous Meeting:  Question raised as to any correspondence regarding de-registration as to the Craigmore Club – No response as yet from Corporate Affairs Dept.
 
 

5. CORRESPONDENCE IN:

1) Letter from Brian Washington – requesting Re-Imbursement of Capitation Fee, due to Personal Reasons will no longer be able to Race Pigeons.  ACTION:  Re-Imbursement of Capitation has been approved, less Administration Fee of $10.00.

2) Email from Gawler River Club enquiring as to a Club Member who is outside SAHPA Boundary being able to fly in the Para Group.  Clarification also sought as to SAHPA Fee & Freight Charge.

ACTION: Member is required to become an Affiliated Member of the SAHPA, and to Pay SAHPA Cartage Fees.  Member is also required to seek approval to compete in the Para Group.  Member will be unable to participate at SAHPA Level.

3) From Gawler River Club advising Office Bearers for 2002 Season.  Chairman –  K. Waters, Secretary/Treasurer –  N. Moore, Race Secretary –  B. Cotton, Clock Chairman –  L. Drew, Publicity Officer –  N. Moore.  ACTION:  Secretary to note and file.

4) From Smithfield Invitation Racing Pigeon Club advising of Office Bearers for 2002 Season.  Chairman –  P. Mundy, Secretary -  T. Jeffries, Treasurer – G. Rehn.  ACTION:  Secretary to note and file.

5) From North East Inv. Homing Pigeon Club advising of Office Bearers for 2002 Season.  Chairperson – M. Terreri, Secretary – A. McCauley, Treasurer – B. Chalmers.  ACTION:  Secretary to note and File Office Bearers.   Enquiry as to Phone Subsidy for Association & Group Races for Season 2001.  ACTION:  All Phone Subsidies will be paid on 1st Hamper Night, Friday 24th May, 2002.  North East Inv. Homing Pigeon Club also requesting to be a Hampering & Clock Reading Centre (Same as Last Year).    ACTION:   Secretary to note records for when Groups are finalized.

6) From Southern Districts Inv. Racing Pigeon Club Inc., requesting permission to conduct Club’s Sires Produce Race in conjunction with the Farina Y.B.C.  ACTION:  Request for Southern Districts’ Sires Produce Race has been approved.

7) From Para Hills Racing Pigeon Club advising of Name Change to Pooraka Inv. Racing Pigeon Club.  ACTION:  Pooraka Secretary to lodge name change with Corporate Affairs.

8) Junior Membership lists from Alexandra & Smithfield.  Block Plan received from Ricky Jarman.  ACTION:  Secretary to note and file.

9) Affiliated Club Membership lists received from Barossa/Angaston and Whyalla Homing Society.  Whyalla Homing Society requesting Trophy Donation for Season 2002.  ACTION:  Secretary to file.  ACTION:  Trophy Donation – Trophy Donation has been approved.

10) Computer Block Plan for Trevor Bragenza – West Torrens Club.  ACTION:  Secretary forwarded to J. Cock for Processing.

11) From Salisbury Club advising they will be flying all Group Races with the Salisbury Group.  ACTION:  Secretary to note records for when Groups are finalized.

12) E-mail from Tea Tree Gully Pigeon Club wishing to remain a Clock Reading Centre for 2002.  ACTION:  Secretary to note records for when Groups are finalized.

13) From Alexandra Inv. Homing Pigeon Club advising they will be Hampering and Reading Clocks with the Strathalbyn Group, where there will be 8 – 9 Flyers each week.  Victor Harbour Club will also be hampering with them for Season 2002.  ACTION:  Secretary to note records for when groups are finalized.

14) From Hyde Park Club advising that Hyde Park & South Suburban Clubs will continue as a Group for Season 2002.  ACTION:  Secretary to note records for when groups are finalized.

15) From W. Moyle, advising of his intention to fly with the Hyde Park Group for 2002.  ACTION:  Secretary to note records for when groups are finalized.

16) E-mail from Central Districts Club advising that Central Districts and Elizabeth will be combining and will be flying as the Northern Group.   Letter from Elizabeth Club advising same.   ACTION:  Secretary to note records for when groups are finalized.

17) From North Suburban Homing Pigeon Club requesting clarification on Certain Points pertaining to the Qualification of Young Birds for Season 2002.  ACTION:  Refer to Minutes 19th March, 2002 – Item 8.1 – Bird Qualification Season 2002.

18) E-mail from J. Hofman (Release Officer) as to his investigation into Race Points and Flying Patterns of other Federations for 2002 Season.  J. Hofman states that everything looks fine as to SAHPA Race Program can see no possible clashes during 2002 Season.  ACTION:  The Management Committee wish to thank Mr. Hofman for his investigation.

19) E-mail from M. Pethick regarding cartage costs per Bird for Season 2002.  ACTION:   Cartage Costs for 2002 Season have been approved.  The Committee are quite satisfied with the Costings, which will remain the same as 2001 Season for Club Races, and a reduction in cost for the two (2) Long Races.

20) Copy of Adelaide 10,000 Minutes – meeting held 10th April, 2002.  ACTION:  Minutes to be sent out to Secretaries.
 
 

21) Tenders received from Gilbertson’s Fodder Store and Magill Grain Store for the Supply of Pigeon Mix and Pea Straw for the 2002 Season.  ACTION:  Magill Grain Store Tender for 2002 Season has been approved.

22) Application for SAHPA Headquarters’ Cleaning Contract for
2002 Season received from N. Albanos & M. Coleiro.  ACTION:  The SAHPA Management Committee wish to advise members that N. Albanos & M. Coleiro have been appointed Cleaning Contractors for the SAHPA Headquarters.

23) Tenders received from A. Harris & S.A.R.P.F. for Back-up/Stand-by unit for Season 2002.  ACTION:  The SAHPA Management Committee wish to advise that S.A.R.P.F. has been approved for the Back-up/Stand-by Unit for the 2002 Season.

24) Pest Management – Quotes received from All Type Pest Management & Rentokill Pest Control for Pest Prevention Service at SAHPA Headquarters.  ACTION:  All Type Pest Management Control Service has been accepted for Pest Prevention for the SAHPA Headquarters.

25) Signed copies of Safety Guidelines received from Convoyer, Unit Loaders and Unit Cleaners for 2002 Season.  ACTION:  Secretary to file.

26) From V.F.P. Insurance – advising of Insurance Cover for SAHPA Equipment at General Secretary’s Premises.  ACTION:  Secretary to file.

27) From Gleeson College – Letter of thanks plus $20.00 cheque for Release of Pigeons at their Liturgy.  ACTION:  The SAHPA Management Committee would like to thank Mr. R. Billing for his  time and effort at Gleeson College.

28) From Smithfield Inv. Racing Pigeon Club – requesting copy of up-dated Race Program and information as to what Computer Program SAHPA intends to use for 2002 Season, also asking what capacity of Computer is required.  ACTION:  Mrs. Cheryl Myers to contact Smithfield Secretary pertaining to this matter.

29) From Barossa Valley Racing Pigeon Club – advising of their intention to fly with the Para Group for 2002 Season. Also including format as requested for the Club’s Sires Produce Sale for 2003 Season.  ACTION:  Intention to fly with Para Group to be noted.  Club’s Sires Produce Sale for 2003 has been approved.  Management Committee cannot guarantee exclusive rights.
 
 
 

30) From Hampstead Club – Advising of their intentions to fly in the Group with North Suburban Club – Continue to Hamper at their Clubrooms.  Clock Reading at SAHPA Hall.  ACTION:  Secretary to note records for when groups are finalized.

31) Keith Homing Club requesting permission to convoy with SAHPA to certain race points.  ACTION:  Secretary to reply.

1) Facsimile to V.F.P. Insurance – advising of approx. Replacement Value of SAHPA Inc. Equipment situated at General Secretary’s Premises for Insurance Cover.  List of Club Secretary’s sent to V.F.P. Insurance for Club Insurance for 2002 Season.

9) E-mail to P. Squire – Confirming Junior Race Program for 2002 Season.

10) To J.G & M.J. Hastings – Advising them that their Transport Tender for the SAHPA Main Race Unit for 2002 Season was unsuccessful.

11) To Hampton Haulage – Advising him that his Transport Tender for the SAHPA Main Race Unit for 2002 Season was successful.
 

7. MATTERS HELD OVER:

1.  Lighting of Gateway Entrance to SAHPA Premises.  ACTION:
     Secretary to enquire as to the establishment of a Permanent Street
     Light in this area.

2. Life Ring Expiry Date.  ACTION:  Any Bird carrying a Life Ring with the year prefix more than Ten Years Old as from the 1st January 2003 – will not be accepted to compete in any SAHPA Programmed Race.

3. Fire Hose.  ACTION:  A Fire Hose is to be fitted as near as
    practible to the Loading Area.  Mr. R. McIlduff has volunteered his
   services to connect the pipe-work to the water metre once a trench to
   lay the pipe-work has been established.

   If any Member has access to a Trench Excavator and is able to help
  On this matter – please contact the General Secretary.
 
8. GENERAL BUSINESS:

1. Release Guidelines. – Club Secretaries will be forwarded a copy of the Release Guidelines for the 2002 Season.  Secretaries are asked to make all Members aware of these Guidelines.

2. 2002 Race Program & Membership Card. – The Initial Draft of the Race Program & Membership Card has been checked and approved.  The Program Card will be printed and forwarded to Club Secretaries as soon as possible.

3. Unit Loading Roster – 2002 Season

· Clubs with   1-15 Hampers – Send 1 Driver & 2 Loaders
· Clubs with 16 or More  “    -  Send 1 Driver & 3 Loaders

When your Club arrives at Headquarters, One Loader is to take the Paperwork to the Office Window for Payment etc.  The Driver is to stay with the Vehicle.  The other Loader/s are to keep an eye on the progress of the queue and where applicable, one and or/two Loaders are to get up to the Loading Dock at the following time.
 
To HELP put Hampers away for – “The Vehicle/Unit in Front of Your Club, Stay for Your Club and the two (2) Vehicles/Units Following”.

The MORE Support Clubs give to the Loading Procedure, the Quicker the Birds will be loaded – enabling the Birds and Loaders etc. to Depart Headquarters a lot earlier.
 

4. Race Bird Nominations and Phone Through to Headquarters:
It will be the Individual Clubs responsibility to get Bird Numbers phoned through to Headquarters by 7.45 p.m.  This includes Affiliated Clubs.
 

5. Life Ring Transfers - $1.00 Per Card.
             Please Advise Members that all Transfers are to be forwarded to the      Ring Secretary by the FIRST RACE NIGHT.

     6.  Vin Blanden Race:  This Year’s Vin Blanden Race will be held on            October 5th  – Nyngan Open.  A $5.00 Nomination Fee, and only one                                    (1) Bird to be nominated.

    7.  Juniors – The Management Committee have approved the associated
                     Costs involved for the Juniors’ pre-season race from Snowtown.

8. Presentation Evening – A tentative booking has been made at the
                    Walkers Arms Hotel for SAHPA Presentation Evening on the 16th
         November, 2002.

    9.  Main Race Unit – The Management Committee would like to thank
                     Mr. Paul Wilson for his help regarding the Towing of the Main Race
          Unit for a Service Check.
 
        10. Radio Station 88.5 Coast F.M. – The Management Committee have
                   Approved the Sponsorship Contract with Radio Station 88.5 Coast F.M.

11. Coloured Labels for Hampers:  Please Note Coloured Labels for Hampers:

      Large Unit Labels             -    Red    –  Cocks         Blue     – Hens
  Sires Produce Labels        -  White   – Cocks         Orange - Hens
  Cocks Special Labels        - Cream Marked “Cocks Special”
 
             The above Coloured Labels are the only ones to be accepted on the
             Loading Dock!  Coloured Labels will be available on Stock Night or
  Hampering Night.

12.  Race Results – Club Races.

v All Clubs will be required to lodge their Club Race Results with the Publicity Officer this Season.  The Results must either be Phoned or Faxed to Brenda on 8327.1270 On Saturday Night (up to 9 p.m.) or Sunday Morning 10 a.m. to 11.30 a.m.

v Please phone Brenda for Further Details on 8327.1270.  Information Required is the Number of Flyers and Birds Sent, the First 3 Placegetters and Their Respective Velocities.

v   Group Association Results.

Ø Fax through to Brenda on 8327.1270 up until 9 p.m. Saturday Nights or 10 a.m. Sunday Mornings.  Please provide separate result for each Group with Number of Flyers and Birds.  Country Clubs can phone through on Saturday Evening and Sunday Morning (Same Times)

13. Release Details – Info Line:  For Recorded Race and Release Information, please ring 8262.3857.  This Service will enable up to 12 Callers at the same time.  A Brief Message will be heard detailing Release and Weather Details – at the end of the Message, you will hear “This is the end of the Message – Please hang up now”.  On hearing this message, please hang up immediately to allow other people access.
                    DO NOT HANG ON TO LEAVE A RETURN MESSAGE!
No message will be accepted or listened to!

Similar Details will be available on the SAHPA Website – www.sahpa.asn.au.  If there is a possibility of Bad Weather and changes may occur, then All Club Secretary’s are to Monitor the situation on the info-line (8262.3857).

After the Race is over, the Recorded Info Line will be switched over to an Answering Machine mode, so the Publicity Officer can give details of Race Results.
